Inquiry to booked job

The full loop: reply, quote, follow-up and booking, with you at every send and every price.

The ECHO line

No price, send or booking moves from one role to the next without your OK.

The flagship loop for service businesses, from the first message to a job on the calendar. Four roles do the drafting: reply, quote, follow-up and booking. You price, approve and confirm, and each handoff carries a note, so nobody has to start over.

At a glance

  • Four roles draft; you price, approve every send and confirm every booking.
  • Each handoff carries a note, so nobody starts over.
  • Stops on complaints, a stale price book, a no, a double booking or an unclear status.

Where the lines fall

AI may prepare

  • The same-day reply, the quote draft with its assumptions, the follow-ups on your schedule, and open times from free/busy.

Only after a person says yes

  • Sending anything, reminders included.
  • The quote's exact amount, recipient and version.
  • Each follow-up, one by one or as a set for the schedule.

Human reserved

  • Pricing anything not in your price book.
  • Answering when the customer replies.
  • Confirming the booking.
  • Complaints, refunds, and anything legal, medical or urgent.
Stops when

The job isn't on your list, the price book is out of date, the customer says no, two requests want one slot, or you can't tell whether something went through.

Steps

  1. Reply Desk

Sorts the inquiry and drafts a same-day reply that asks for the one missing detail. A customer's AI gets the Agent at the Door rule.

Sorting on a fast, low-cost model; the draft on an everyday assistant or your messaging tool's agent in suggestion mode.

  2. You

    Approve and send the reply.

    Your OK
  3. Scope and Quote

Drafts the quote from the current price book, with an assumption for each line and the questions that change the total.

An everyday assistant drafts. For large or unusual jobs, a deep-reasoning model from a different company checks the assumptions and the math first; its check isn't your approval.

  4. You

Price anything that isn't in the price book.

    You
  5. You

Approve and send the exact quote: amount, recipient and version.

    Your OK
  6. Follow-up Desk

Drafts follow-ups on your schedule. Stops on any reply, a no or a booking, and hands you the thread.

A fast model or your CRM's agent in review mode; the tool must stop the sequence when a reply arrives.

  7. You

Approve the follow-ups, one by one or as a set for the schedule, and answer the customer's reply yourself.

    Your OK
  8. Booking Assistant

When the customer says yes, offers open times from free/busy, collects the visit details and drafts the confirmation.

An everyday assistant or your booking tool's agent in suggestion mode, with free/busy access only.

    AI
  9. You

Confirm the booking: check the slot is still free, put it on the calendar, and approve the confirmation message.

Model fit

Best fit
  • Everyday assistant
  • Built into your business tools
Also fits
  • Fast and low-cost
  • Deep reasoning
Avoid
  • Personal agent (acts for you)

Match the model to the step: a fast model for sorting, an everyday assistant or your tools' built-in agents for drafting, and a deep-reasoning model to check large quotes before you look. Every send, price and booking stays with you.

A pasted role guides the agent. Your tool's settings are what stop an action.

Settings that enforce it

  • Turn on approval before anything sends in every tool the loop touches: email, messaging, quote tool and calendar.
  • Give read-only access to one current price-book file, and free/busy-only calendar access.
  • Block orders, invoices, payment links and automatic bookings for every agent in the loop.
  • Make sure follow-ups stop when a reply arrives, and that stopping the loop cancels scheduled sends.
  • Keep one log for the whole loop, so you can open the record before you read the recap.
  • If your tool can't do one of these, leave that part of the job with a person.

One check before you trust it

Run one test job end to end with yourself as the customer: ask for a quote, reply "yes" to the second follow-up, and pick a time. The loop should stop at every gate, the follow-ups should end when you reply, and nothing should be on your calendar until you confirm it.
