Settings that enforce it
- Give the agent read-only access to one price-book file, and remove older versions from where it can reach them.
- Turn on approval before anything sends from your quote tool or email (often called "Review before sending" or "Needs approval").
- Block it from creating orders, invoices or payment links.
- Put the date in each price-book file's name, so every draft can say which version it used.
- If your tool can't do one of these, leave that part of the job with a person.
One check before you trust it
Paste an old quote with a lower price for the same job, then ask for a new quote. The draft should use today's price book, name its version, and flag that the old price belongs to the old job.
